How to add a clinical record |
Click
on PATIENTS on the main menu
Click CLINICAL RECORDS
Click on ADD CLINICAL RECORD
Select the client
Select the patient
Click on DIAGNOSIS and select the diagnosis from a list
Enter the detail in the white box
Or
Click on the ADD CLINICAL button while busy with a transaction
Or
You can setup your methods with pre-typed information. When using this method in a
transaction it will automatically update your clinical history with this pre-typed
information. It will open the clinical record window first, enabling you to add to it or
change it.

With
each record entry, enter the diagnosis and detailed notes about that problem or symptom.
The clinical record
number, the client's name and patient name will appear at the top of the window. The date
and time will be the system date and time, and can be changed.
Client information
document
Standard
information letters containing information about a particular illness, as well as
instructions on care and treatment, can be printed for a client. You
have to link a particular diagnosis with a document before you can use this function. When
you click on the CLIENT INFO BUTTON this document will appear, which you can edit before
printing.

Diagnosis
Click
on the DIAGNOSIS button to select the diagnosis from the drop down list or manually enter
the description of the problem or symptom here. Each diagnosis should preferably be added
as separate clinical records.

Message
Click on the MESSAGE button to add pre-typed messages to the clinical record to save time.

Click
on the ADD DOCUMENT button on the clinical record window
The word processor will open and the document template will appear
Now you can edit the document template
When you close the document, you will be asked if you want to save the document
Click on YES
The document will be saved with a unique document number
To
view the document again:
Click
on the VIEW DOCUMENT button on the clinical record window |
How to link other documents to
a clinical record |

Enter
the name of the document with the file extension, e.g. SIMBA.DOC
(Remember, the document name cannot be longer than eight characters.)
Click on the VIEW DOCUMENT button
The word processor will open and the document will appear
Now you can edit the document if it is necessary
When you close the document, you will be asked if you want to save the document
Click on YES
To view the document
again:
Click
on the VIEW DOCUMENT button on the clinical record window |
How
to adjust an image template and link it to a clinical record |

Click
on the ADD IMAGE button
MS Paint will open and the image template will appear
Now you can edit the image template
When you close the image, you will be asked if you want to save the image
Click on YES
The image will be saved with a unique image number
To
view the image again:
Click
on the VIEW IMAGE button on the clinical record window |
How to link other images to a
clinical record |
- Make
sure that the image is saved in C:\MFW5\IMG\
Enter
in the name of the image with the file extension, e.g. WAGTER.BMP
(Remember the image name cannot be longer than eight characters.)
Click on the VIEW IMAGE button
MS Paint will open and the image will appear
Now you can edit the image if it is necessary
When you close the image, you will be asked if you want to save the document
Click on YES
To
view the image again:
Click
on the VIEW IMAGE button on the clinical record window |

How to set up Microvet to link documents to clinical
records |
If
you have MS Word or any other word processing program on your computer, you can use it as
part of Microvet. You can use it to write clinical records, letters, prescriptions,
documents, certificates etc. You can also utilize the full power of Word, e.g. to run a
spell and grammar check and you have a wide variety of fonts to choose from. |
Step 1: Save the
document files to the appropriate directory |
Microvet differentiates between
two types of linked documents:

Your
document template: This is a basic form that you can
use more than once and adjust for individual clients.
This document template should be saved in C:\MFW5\DOC\ and C:\MFW5\
·
Other
text documents: These are documents that you save
individually, e.g. laboratory reports or any other text documents.
These documents should be saved in C:\MFW5\DOC\ |
Step 2: Set up your local setup
to link documents to clinical records |
Click
on FILE on the main menu
Click on LOCAL SETUP
Document
directory
Make
sure that the path in the LOCAL SETUP directs to document directory e.g. C:\MFW5\DOC\
Each PC on the network has a unique local setup. In the local setup you can specify
the location of the document directory. Our default document directory is C:\MFW5\DOC\,
but you may use any directory. If you have software that already saves all the
documents to a certain directory e.g. C:\DOCUMENTS you can change the document
directory in the local setup to this directory. Use the eight character abbreviation
format, e.g. C:\DOCUME~1\
Word
processor path
Use this field to enter the path of the word processor that you use. There is a limit
of eight characters per file name and spaces are not allowed, e.g. my word processor is MS
Word and it was installed as part of Microsoft Office. The long file name path is as
follows:
C:\Program Files\Microsoft Office\Office\Winword.exe
To use this in Microvet, you have to use the eight character abbreviation format:
C:\Progra~1\Micros~1\Office\Winword.exe
Default
document
You can choose your own default word processor document template. We suggest that you use a template of your
letterhead as the default document template. Use your word processor and save the template
directly to C:\MFW5. The files that will be created from this default document
template will be stored in C:\MFW5\DOC. Fill in the default document template name
as follows: PRACTICE.DOC.
(Remember
the document name cannot be longer than eight characters.) |
How
to set up Microvet to link images to clinical records |
You
can scan images and use MS Paint to mark the location of a lesion (similar to a pathology
report) and link it to a clinical record.
You
can also use a scanner to scan laboratory results and link it to a clinical record.
Photo's taken by a digital camera, ordinary camera, video camera, X-rays, sonar and MR can
be linked to a clinical record.
In the case of X-rays,
you would need a high resolution monitor and scanner. |
Step
1: Save the image files to the appropriate directory |
Microvet

image

Use MS Paint or your imaging program and save the template directly to C:\MFW5\ directory.
The files that will be created from this default image template will be stored in C:\MFW5\IMG\.
Fill in the default image template name as follows: DOG.BMP.
(Remember the image name cannot be longer than eight characters.)
File
type
MS
Paint is used to view the images. MS Paint has a limitation to the type of files it can
open. It can only read the following types of files: bmp, gif, and jpg. If you use other
imaging software, make sure to save the file as one of these file types.
Warning
Images
use a lot of disk space. If you save many images, you may run out of disk space. If this
is the case, compress the images or save them on another type of media, e.g. CD or ZIP
disks. |
How
to view the clinical history |
The
history of a patient can be viewed or printed at any time. The history includes all
clinical records added to the patient.
Click
on PATIENT on the main menu
Click on VIEW CLINICAL HISTORY
Select
the client
Select the patient
Or
Click on the HISTORY button while busy with a transaction
You
can view the all the images and documents added to clinical records by clicking on the
IMAGES button on the transaction window.

How
to print clinical history |
The
history is usually viewed on screen, but it can also be printed or copied to a text file.
Click
on FILE
Click on LOCAL SETUP
Change the printer destination for HISTORY to LPT1
View clinical history as described in the previous step history will now be printed
and not be seen on the screen
(Remember to change the printer destination back to SCREEN when you want to view the
clinical history on screen.) |
How to view
and edit documents and images while busy with a transaction |
Click
on the IMAGES button on the transaction window
Select the image or document
Click on the appropriate button at the bottom of the window to open the image or document
