How to add a service item

Click on TARIFFS on the main menu
Click on SERVICES
Click on ADD SERVICE

Description
The description field is used to record the English name or a description of the service item.

Other language
Translate the name or description in another language. Depending on the language preference of your clients, these descriptions will print either in English or the 2nd language on the invoices and statements.

TAX rate
The default tax rate will be displayed in the tax field.

Apply service discount
Tick this box to identify the services that qualify for month-end discount. With this function you can identify which professional fees will qualify and which will be excluded from the month-end discount, e.g. laboratory fees.

Rate 1 / 2 / 3 / 4
There are four rates to choose from. rate 1 is the default service rate. Use this as the normal rate. The prices are TAX INCLUSIVE. You may use rate 2 as a 10% discount rate. You can change the client information to a different rate, e.g. a pensioner can be set on service rate 2 and receive a 10% discount on all services. The amount of discount will not be displayed on the invoice or statement. There are alternative methods to give discount when you do a transaction.

Cost to practice
Type the cost amount to the practice in this field. This should only be done in cases where the rendering of the service actually costs money, e.g. when you travel to the client's premise.

Procedure time in minutes
All surgical procedures work on the general surgery price per hour, multiplied by the number of minutes. You can use this quantity of Microvet to calculate the price, but it can be an odd figure. If you operated for 35 minutes, you have to multiply the hourly price by 35 and divide by 60 (or multiply by 0,583). The default value for number of minutes for a procedure is 0.  If you leave this figure at 0, Microvet will use a quantity of 1 e.g. for a consultation. If this is a procedure that the SAVA rate at 35 minutes, enter rate 1 as R810-00 and enter the time as 35 minutes. Microvet will prompt you to confirm the time spent and calculate the quantity. (If the time spent is left at 0, the program will not prompt for the number of minutes.)

Pet health discount
This is the percentage discount for pet health discount.

Status
This is a way to identify transactions that you want to return to at a later stage to complete. E.g. when you send a blood test away to a laboratory, you want to return to it at a later stage to add the results. Set the status of the service to LAB RESULTS. When you use this service in a transaction, it will change the status of the transaction to LAB RESULT and you will be able to

return to the transaction via edit pending transactions.

Update next vaccination date
With this feature you can identify a service item to update the next vaccination date of a patient, every time this service item is selected during a transaction. Type the number of days to be used for updating the next vaccination date of a patient. If the field is left open, the vaccination date will remain unchanged. If you type the number 30 in this field, the patient’s next vaccination date will be automatically updated as follows: The system will take the current date of the PC and add 30 days to it and change the next vaccination date of the current patient.

EXAMPLE
Add a few vaccination services with different dates
VACCINATION - PRIMARY Update next vaccination date with 30 days
VACCINATION - BOOSTER Update next vaccination date with 365 days
Use these in combination with stock items in methods. If you build a method that consists of a vaccination service and the stock item of the vaccine, the next vaccination date will be updated automatically and the stock item deducted from the stock when you use this method.

WARNING
This feature can save plenty of time when used in a transaction, but it is possible to make a mistake.

·         If you perform this action on the wrong patient, the next vaccination date of the wrong patient will be updated and will be incorrect. This is an irreversible action.

·         If you delete the line in the transaction, the updated vaccination date will not change.

·         If you edit the line and change the name of the patient, the updated vaccination date will not change to the new patient name - you have to manually edit the first patient's information and change the vaccination date.

TIP: Practise this feature a few times. When you are in a transaction, click on the PATIENT button and look at the next vaccination date of a particular patient. Add a vaccination service to the transaction. Click on the PATIENT button again and see how the date has changed. If you made a mistake, you can always change the date manually.

Update the re-call date and type
This is an additional reminder system. Use this system to create your own reminders, e.g. Program injection in six months time. You can automatically change these fields when selecting a service item in a transaction. The same warning for the Update of the next vaccination date, applies here.

Change health status
With this feature you can identify service items to change the health status of the current patient to deceased. Select services like EUTHANASIA and DISPOSAL. If the box is ticked, it will change the status of the patient to DECEASED, every time this service is selected during a transaction. This will avoid the situation where you can send a vaccine reminder to a dog that was euthanazed. The same warning for the Update of the next vaccination date applies here.

Change fertility status
With this feature you can identify service items to change the fertility status of the current patient to sterilized. Select services like SPAY and CASTRATION. If the box is ticked, it will change the status of the patient to STERILIZED every time this service is selected during a transaction.

Category
Select a category from the list to which the particular service belongs, e.g. HOSPITALISATION. When printing a category sales report all the service items allocated to a category will be included.

How to edit or delete a service item

Click on TARIFFS on the main menu
Click on SERVICES
Click on EDIT SERVICE or DELETE SERVICE
Select the service

How to mark up service prices

This will increase all service prices by a percentage. A user access level of 4 is needed. Type in the percentage that each rate of service prices should be increased with. There is an option to round off the prices. Tick this box if you want the prices to be rounded to the closest 10c, e.g. R58-70. If the box is unticked, the prices will be rounded to the first two decimal places e.g. R58-65.
