Reports

All the reports allow you to specify the TIME PERIOD by entering the start and end dates. Reports can also be printed for SPECIFIC USERS.

Reports can be set to be viewed on screen or to be printed by a printer. Change the report setting in the local setup from SCREEN to LPT1 or vice versa.
Reports can also be copied to a text file. Use a name and a file extention, e,g, cashup.txt

How to print reports
Click on the appropriate report
Log in
Specify the time period and click on OK
Select the user you want to print the report for
Or Press the ESC key on your keyboard to include ALL the users
Client reports
Client information
This function prints a list of all clients with their details, balances and notes. The list can be filtered with a minimum balance, account age, bad debtor, active account, language, recoverable and client code.
Click on Clients --> Client info

List best clients
This function prints a chosen number of clients with the their total payments received up to date.
Click on Clients --> List best clients

Month-end discounts
This function prints a list of all the clients that qualified for month-end discounts, the number of times that the client qualified and the amount of the discount.
Click on Clients --> Month-end discounts

Pet Health discounts
This function prints a list of all the clients that received pet health discounts and the amount of the discount received.

Month-end ages
This function prints an age analysis for the total balances of debtors as it was when previous month-end procedures were done.

Month-end sales
This function prints the monthly totals for stock sold, services rendered, payments received, discounts given, interest fees added and administration fees added for each month-end done.

Transaction listing
This function prints all the transaction lines added for a client for a given time period.

Archived items listing
This is a report that displays archived lines similar to the Transaction Listing.

Pet Health item listing
This function prints all the marked pet health lines added for a specified client, discount given on those lines and the normal tariff for those lines.

Client outstanding balances reports
Client balances
The client balances report will compile a list of individuals, displaying the total balance due on each account with the account number. The difference between this function and the age analysis function is that it does not divide the balance in different ages and it prints the client account number.

Age analysis
A debtor's age analysis can be printed and it will display the total amount due by each client, as well as a breakdown of the balance according to the account ages. You can also filter the report to print only inactive or active clients. Method of payment can also be specified: pay at practice, pay by debit order or electronic banking.

Debtors telephone
Generate a report of all clients with an outstanding balance. The user can select an account age group and a minimum balance. The client's details, outstanding balance and notes will print.

Final reminders
This function prints a final reminder notice for all the clients with balance above a specified minimum and for a specified age group.

Patient reports
Phone back list
This function prints a list of patients, their owners and telephone numbers that you have to follow up. This report will only print if you filled in the phone back date and reason in the patient information window.

This function prints all the clinical records added for a patient.

View clinical records of archived patient
This function prints all the clinical records added for a patient that have been archived.

Hospital patient report
List all the patients in hospital. The cage number, invoice number, patient and client details, date and time admitted to hospital as well as the last clinical record added is printed

List hospital patients
This option provides a quick method to see which patients are still in hospital. The patient name, owner name and telephone numbers as well as the date and time admitted to hospital is listed.

Pending transaction list
This function lists the pending transactions according to their pending status. The dates and numbers of the transactions, patient detail, owner’s names and telephone numbers are included in the list.

Diagnoses per time period
This option will generate a report on all the diagnoses added in clinical records and the number of occurrences during a period of time. This report is especially useful to determine whether a particular ailment occurs very often in a short period of time. If the illness is contagious, the users can take preventative measures.

Patients per diagnoses
The purpose of this report is to compile a report of all patients with the same diagnoses during any given period of time. The names of the patients, their breeds and diagnoses are displayed. The number of occurrences is displayed at the bottom of the report.

Vaccination reminder phone-back
This function prints a list of patients, their owners, telephone numbers, breed and vaccination due date.
TIP: Print this report for last month to find the cases that did not respond to the reminder.

This function prints a list of the breeds that have been added.

Service list
This report will print an alphabetical list of all service items (ordered by the English description) and the four price rates.

Service sales - current month
This is a quick report of all the sales after the last month-end (current month). This function will generate a report with all services rendered for a certain time period, by any particular user or practice. The service descriptions appear, together with the number of times that service was rendered and the amount of money generated from it as well as the profit made (income minus cost to practice).

Services sales - previous months
This report looks at the old items before the last month-end. This function will generate a report with all services rendered for a certain time period, by any particular user or practice.

The service descriptions appear, together with the number of times that service was rendered and the amount of money generated from it as well as the profit made (income minus cost to practice).

Stock sales - current month
This is a quick report of all the stock sales after the last month-end (current month). The stock sales report will display the name of each stock item, the quantity sold in that period, the income generated from those sales, the expenditure from buying the stock items in the first place and the profit made from selling these stock items. This report can be specified for a specific schedule or manufacturer.

Stock sales - previous months
This report looks at the old items before the last month-end. The stock sales report will display the name of each stock item, the quantity sold in that period, the income generated from those sales, the expenditure from buying the stock items in the first place and the profit made from selling these stock items. Stock sales - last six months
This report prints the sales totals for each stock item for the last six months so that the different monthly totals can be compared.

Stock inventory
The stock inventory list includes the stock item, current quantity on hand, re-order quantity and the cost value of stock items on hand. This list could be specified to print all the stock items or only those items that are under the re-order level. If you click on OK, only items under the re-order level will be listed. If you click on CANCEL, a complete inventory list will be printed.
You can also mark stock items NOT to print on the inventory list.

Stock inventory per location
This function prints the current quantity on hand for five different locations as specified in DEFAULTS. This list could be specified to print all the stock items or only those items that are under the re-order level. If you click on OK, only items under the re-order level will be listed. If you click on CANCEL, a complete inventory list will be printed.

Stock received
This function prints a list of all the stock received from suppliers. The schedule and manufacturer can be specified. The schedule, quantity, value and tax amount are included.

Expired stock
A list with all the stock items that have expired will be printed. The expiry date, current quantity and cost value of the current quantity will be displayed.

This function lists the names of all the manufacturers.

This function prints a list per manufacturer of all the stock items, their schedule, generic group, quantity sold, cost value of quantity sold, income of quantity sold and the profit made.

Category sales summary
This function prints the totals of items sold by category: quantity cost value of quantity sold, income from quantity sold and profit made from quantity sold.

This function prints all the items sold per category, cost value of quantity sold, income from quantity sold and profit made from quantity sold.

Niche sales
This function prints the stock quantity sold and the barcode of the stock item for the pet food category.

General practice reports
Cash-up all months
This function prints a list of payments received in a given time period and the totals of cash, cheque, credit card and transfer payments.
Click on Transactions --> Cash up all months

Cash-up current month
This function prints a list of payments received per time period after the last month-end and the totals of cash, cheque, credit card and transfer payments. The receptionist will use this report to balance the books on a daily basis. If you have a cash drawer connected to Microvet the drawer will open when printing the cash up.

Audit trial
This report makes a complete list of all the transaction lines for a specific time period. It prints a description of all the lines and the client's name.

Transaction summary
This report lists all the transactions done during a given period of time. It only looks at lines after the last month-end (current month). It gives you the debit totals, debit tax totals, credit totals and credit tax totals per transaction.
The Debit Column includes the following:
Services, Stock, Debit Journals, Interest, Admin fees, minus Discount
The Credit Column includes the following:
Payments, Credit Journals, Interest Payments, Admin Fee Payments
Click on Transactions --> Transaction summary

Summary by accounts
This report lists the totals of all the transactions per client for a given period of time. It only looks at lines after the last month-end (current month).
DEBITS - Total of all the debit lines minus the discount
CREDITS - Total of all the payments and credit journals
BALANCE - Debits - Credits
OUTSTANDING - Gives the current outstanding balance

Debit journal listing
This report gives you a list of all the debit journals and their tax amounts over a time period.

This report gives you a list of all the credit journals and their tax amounts over a time period.

Skills development levy report
This function calculates percentage on the salaries paid. The amount leviable, levy percentage and levy payable is printed. The account should be specified as a Skills Development Levy account and the percentage that should be levied must be specified in the DEFAULTS.

Unemployment fund contribution levy
This function calculates percentage on the salaries paid. The amount leviable, levy percentage and levy payable is printed. The account should be specified as an Unemployment Fund Contribution account and the percentage that should be levied must be specified in the DEFAULTS.

Regional service council levy
This function includes the Regional Service Levy and the Regional Establishment Levy. The levy payable is a percentage from the total turnover excluding tax (service, stock, minus discounts and credit journals) of the practice. The account should be specified as a Regional Service Council Levy account and the percentage that should be levied must be specified in the DEFAULTS. Tax is calculated on the amount payable.

Total records per table
This report shows how many clients, patients, deceased patients, breeds, service items, stock items, methods, line items, old line items, archive line items, history, accounts and account line items you have on your system.

Practice performance reports
Practice summary
The practice summary report displays the financial status of your practice. It is a summary of income and expense totals. Tax (vat or gst) is included in amounts where applicable.

Remember to change the start line number to 0 when prompted for line numbers.

Client balances
Age Analysis totals on the date that you print the practice summary. This total cannot be backdated. It also includes the number of clients that have outstanding balances.

Creditor balances
Total of outstanding balances on the date that you print the practice summary. This total cannot be backdated. It also includes the number of creditors that have outstanding balances.

Gross turnover - total services, stock, debits plus interest and administration fee debits.
(
Note: Debit journals and credit journals are NOT included in this total.)
Gross expenses - total stock purchased, other expenses made, debits minus stock
returned and discount.
(Note: Debit journals and credit journals are NOT included in this total.)

Net turnover - gross turnover minus gross expenses

Gross payments - total payments received by debtors
Creditor payments - total payments made to creditors
Net cash flow - gross payments minus creditor payments

Bank account balance - balance on the date when the practice summary is printed, cannot be backdated.
Petty cash balance - balance on the date when the practice summary is printed, cannot be backdated.

Income statement
This function calculates the net income before tax and without sales tax.
Turnover - total of all the debit transaction lines generated for clients
Cost of Sales - total of all the debit transaction lines generated for creditor accounts (these accounts must be linked to a cost of sales ledger account)
Other income - total of all the debit transaction lines generated for expense accounts (these accounts must be linked to an income ledger account)

Cash flow statement
This function calculates the cash flow: payments received by debtors minus payments made to creditors. Sales tax is excluded in the calculations.
Income - total of all payments received from clients
Cost of Sales - total of all payments made to creditor accounts (these accounts must be linked to a cost of sales ledger account)

Other income - total of all payments made to expense accounts (these accounts must be linked to an income ledger account)

List weekly payments made and received and the balance for a given month.

The percentage of sales tax to be calculated is specified in DEFAULTS.

Sales TAX reports
There are two types of sales tax reports that you can print, sales tax on invoice and sales tax on payment. If it is set on sales tax on invoice, a report with all the applicable sales tax lines will be printed. If it is set on sales tax on payment, it will make a list of all the payments received with sales tax. There is also an option to print a list of all the lines that have no tax.

Input Sales TAX report
This is a report that will print all the applicable sales tax input lines (lines used in the transactions in Microvet’s accounting function) and calculate the total input sales tax.

Sales TAX summary
This report prints the totals of the sales tax report and sales tax input report and calculates the amount to be paid to the receiver of revenue.

List bankings
This function prints the banked lines for either cash, cheques, credit card, transfer or other payments received or prints a combination for all.

This function prints a list of all the payments made to creditors, the tax amount and method of payment. A summary of the totals for cash, cheques, credit cards, transfers and other prints at the end of the report.

This function prints the debit total, credit total, balance and outstanding balance for each creditor.

Transaction item listing
This function prints a list of all the transaction lines per account.

Supplier invoice summary
This function prints the invoice number, supplier name, debit total, credit total and tax for each invoice/transaction.

List expenses
This function prints a list of names of all the expenses.

This function prints a list of all the expenses and their tax amounts added to accounts.
