How to use the recall function

With the re-call system you can create your own reminders. These reminders are separate from the vaccine reminders and th e phone back system.

Here are a few suggestions for re-calls:

  • Program injection for cats in 6 months time

  • Delvostron injection in 3 months time

  • Spay notice when bitch is 6 months old

  • Castration reminder when tom cat is 6 months old

  • Dental checkup in 3 months time

  • Geriatric checkup

  • Cardiac checkup

  • Weight checkup

  • Letter of condolences after euthanasia

  • Blue tongue vaccination

  • Horse sickness vaccination

Patient information

There are two fields on the patient information that are used.

  • The re-call date is the date for the reminder.

  • The re-call type is a number field. Allocate a unique number for each reminder type. Make a list of numbers and reminder types.

There are two methods how to update these fields:

  • Edit the patient and change the fields manually.

  • Set services to change the fields automatically.

There is a limitation. Each patient can only have one recall reminder. You can't send a spay reminder and a program reminder at the same time.

 

Service information

There are two fields that play a role.

  • Re-call type

  • Update re-call date with this number of days

If you fill in the fields and you use this service in a transaction, it will automatically update the patient information.

E.g. we want to send a letter in 6 months time to remind the client to bring his cat for a program injection. We allocate the number 10 to the program reminder. Fill in re-call type 10 and number of days 180.

 

There is a disadvantage for the automatic re-calls. If a patient already has a re-call reminder and you use a service with an activated recall reminder, it will overwrite the previous recall reminder with the new one.

 

Transaction

The transaction is the ideal place to update the re-call date and type. There are two methods to do this when you are in a transaction:

  • Manual. Edit the patient information and change the re-call date and type.

  • Automatic. Use a service where the re-call date and type is filled in.

 

Mail merge in Microvet

The mail merge has two print options.

  • It can print address labels directly to the label printer.

  • It can generate an address list. This list is a text file that resides in the MFW5 folder.

Select the re-call type option and fill in the type and the start and end date. Give the merge file a name e.g. program. Do not use any punctuation marks and do not use more than 8 characters.

There are two options to print the re-call letters:

  • se the document option in Microvet to do a mail merge.

  • Use MS Word to do the mail merge.

 

Documents in Microvet

  • Create a mail merge address list and give it a name e.g. program

  • Create a document for the topic e.g. program injection

  • Fill in the Type e.g. 10

  • Fill in the merge file name and add .mrg at the back e.g. program.mrg

  • Click on Merge to start the printing.

 MS Word

(Keep in mind that there are different versions of MS Word. This was written for MS Word 2000 but the basics are the same for the different versions.)

Create mail merge address list in Microvet and exit from Microvet.

Open a blank document in MS word.

Click on TOOLS

Click on MAIL MERGE

      Main document -->   Click on CREATE

                                    Click on FORM LETTERS

                                    Click on ACTIVE WINDOW

      Data source -->   Click on GET DATA

                                Click on OPEN DATA SOURCE

                                      Look in:  Mfw5

                                      (Change Files of type at the bottom of the window to All Files (*.*))

                                      Double click on program.mrg to open it

      Header record delimiters -->  Leave all the defaults

                                                Click on OK

      Click on EDIT MAIN document

              Now you can create your own Reminder Letter.

              Click on the Insert Merge Field button on the places where you want to

              insert the client name, address, telephone number, e-mail address and reminder date.

      When finished

            Click on FILE

            Click on SAVE AS

            Save the file in your Mfw5 directory in the Doc directory

                        Name it: ReminderDoc

            Click on SAVE

      Click on the MERGE button

      Keep the defaults and click on MERGE

 

      Click on FILE

      Click on PRINT to print the reminders

 

For the following batch of reminders you only need to do create a merge address list in Microvet and

then open your reminder document, which was saved in your Mfw5 directory in your Doc directory as ReminderDoc.

Then click on MERGE and print your reminders.
